Dorking & District Model Railway Club take the safeguarding of Members’ personal data very seriously. To ensure this, the following policies apply to the data we hold on members.
Members personal data consists of the data entered into the Members application form. This information may be held by the Club, on a computer, under the terms of the Data Protection Act and will be kept solely for use by the Club as a record of the Club’s membership and to allow the Club to communicate relevant information to Members (e.g. AGM material).
No data will ever be sold or passed on to any third party save for a list of Members' email addresses which will be available to other Members through the Club’s password protected Members section of the Club’s Website unless you specifically request otherwise.
You have the right to know the information we hold about you. You have the right to request to be removed from our data records although doing so may mean that the Club is unable to contact you with important information. We will also correct any errors you alert us to. Requests in respect of any of the foregoing can be made either by email or in writing to the Secretary at Dorking & District Model Railway Club, Hut 12, Reigate Road, Dorking, Surrey RH4 1SG.
Except where you have asked for removal, we will keep your personal data for as long as you remain a member. Thereafter it will be deleted within six months of your date of leaving unless there is a specific reason to retain it.
Except where there is a legal requirement for us to provide information, we will refer any enquiry asking for your personal information to you when it is requested.
If you are not satisfied with any aspect of the Club’s management of personal information you have the right to complain to the Information Commissioners Office. Details of how to do this are on the ICO website at https://ico.org.uk.
